SERVICE ONBOARDING AGREEMENT (SOA)

This Service Onboarding Agreement (“Agreement”) outlines the responsibilities, deliverables, and expectations during the onboarding phase for new clients of Stantexx Contractors & General Supplies (“we”, “us”, “our”).

By engaging our services, you (“Client”) agree to the terms below.

1. Purpose of Onboarding

The onboarding process ensures:

  • Proper setup of systems

  • Clear understanding of requirements

  • Smooth transition into active service

  • Alignment of expectations

This Agreement applies to all new service engagements.


2. Onboarding Deliverables

Depending on the service, onboarding may include:

  • Account creation and system setup

  • Initial configuration (Odoo, VoIP, email, hosting)

  • Domain/DNS setup

  • User provisioning

  • Kickoff meeting

  • Requirements gathering

  • Access and credential verification

  • Initial testing

Specific deliverables will be outlined in your proposal.


3. Client Responsibilities

The Client agrees to:

  • Provide accurate business information

  • Assign a primary point of contact

  • Supply required credentials and documentation

  • Respond to communication in a timely manner

  • Participate in onboarding meetings

  • Review and approve configurations

Delays in client response may extend onboarding timelines.


4. Stantexx Responsibilities

We will:

  • Provide professional onboarding services

  • Communicate timelines and requirements

  • Configure systems based on agreed scope

  • Provide initial training (if included)

  • Ensure secure handling of client data


5. Timelines

Onboarding timelines are estimates and may vary based on:

  • Client responsiveness

  • Complexity of requirements

  • Third‑party dependencies

  • Data quality

  • Scope changes

We will communicate any timeline adjustments.


6. Scope Changes

Any changes requested after onboarding begins may:

  • Require additional fees

  • Extend timelines

  • Require a revised proposal

Scope changes must be approved in writing.


7. Acceptance of Onboarding

Onboarding is considered complete when:

  • Deliverables are provided

  • Client reviews and approves the setup

  • Access is confirmed

  • Systems are ready for operational use

Approval may be written or implied through continued use.


8. Fees & Payments

Onboarding fees:

  • Are outlined in your proposal

  • Must be paid according to invoice terms

  • Are non‑refundable once onboarding begins


9. Termination

Either party may terminate onboarding if:

  • The other party breaches the Agreement

  • Required information is not provided

  • Payment terms are not met

Fees for completed work remain payable.
